Add policy to a claim

Claims can exist without an associated policy in BriteClaims. When an FNOL is submitted without a policy, the resulting claim is tagged with the No Policy tag and the New claim status. The status of a claim without an associated policy can’t be changed from New to Open unless a policy is added to the claim.

Note: When a claim’s status is New, you can add exposures, claim assignments, or accounting information to the claim. To manage a claim, the claim’s status must be Open. To proceed with managing a claim, a policy must be added to the claim.

To add a policy to a claim you need to: 

  1. Search for and locate the policy. 
  2. Import and map policy information to the claim.

Search for and locate a policy

  1. In the Claim Details sidebar, select + Add Policy. The Add Policy dialog box will open. 
  2. In the Search for and select a policy box, type search criteria, such as:
    • Named insured
    • Named insured’s phone number
    • Named insured’s address
    • Policy number
  3. Select Search or press Enter/Return on your keyboard. The table below the Search for and select a policy box will display the generated search results.
  4. Locate the correct policy and select the associated radio button. 
  5. Select Continue.

On the next screen, you can import and map information from the policy to the claim.

Import and map policy information

In the Add Policy dialog box, you can map policy information to the claim, if applicable. The Impact if importing policy data section on the second screen of the Add Policy dialog box notes the impact of importing policy data. When importing information, if policy information matches existing claim information, it’s important to map that information, to avoid duplication. 

Map Contacts 

In the Map Contacts section, review the contacts listed in the Contacts from the policy column and the Existing parties on the claim column’s dropdown list. If policy contacts match existing parties on the claim: 

  1. In the Existing parties on the claim column, navigate to the row of a matching policy contact. 
  2. In the dropdown list box, select the caret. 
  3. From the dropdown list, select the contact that matches the policy contact. 

Map Risks

In the Map Risks section, review the risks listed in the Risks from the policy column and the Existing risks on the claim column’s dropdown list. If risks from the policy match existing risks on the claim: 

  1. In the Existing risks on the claim column, navigate to the row of a matching policy risk.
  2. In the dropdown list, select the caret. 
  3. From the dropdown list, select the contact that matches the policy contact. 

Save policy information

When you finish mapping contact and risk information, select Save. When you select Save, the following will happen: 

  • The policy number will be displayed in the left sidebar under Policy in the Claim Details section. You can access the policy information by selecting the policy number or the associated link icon.  
  • You will be directed to the Parties screen of the claim file. Policy contacts not mapped to the existing claim information will populate in the Vendors/Other section of the Parties screen. 
  • The Claim Assignments section on the Parties screen will appear. 
  • You will be able to change the claim’s status from New to Open
