Enable SSN matching

With SSN matching, you will be notified if you enter a new contact with an SSN that matches an SSN of an existing contact. The advanced setting allow-duplicate-ssn can allow or prevent you from adding more than one contact with the same SSN. When the allow-duplicate-ssn is set to False, you can’t create two contacts with the same SSN. When the allow-duplicate-ssn is set to True, you can create two contacts with the same SSN. The following workflow can be used to help navigate through SSN matching.

When allow-duplicate-ssn is set to False, and you create a new individual contact that has an SSN that matches the SSN of an existing contact, use this workflow:

  1. In the Basic Information section, in the SSN box, type the new contact’s SSN. A warning message will appear stating:

    The SSN entered for new party (XXX-XX-XXXX) matches existing contact for:

    <Contact Name>

  2. If the contact identified in the warning message is the contact you want to add, select the Use this contact button at the bottom of the warning message. The following message will appear:

    Updated party information from existing contact record.

  3. To undo the action from step 2, select the Undo button next to the above message. To proceed with the decision to use the contact, move to step 4.

    Note: If you select Undo, you will return to the message showing the duplicate SSN. If you don’t use the existing contact information, you will need to ensure you have the correct SSN. In the SSN box, retype the SSN.

  4. Navigate to the bottom of the dialog box and select Add New Party. The contact’s name will appear on the Parties screen in the section in which the contact was added.

    Note: Any information previously entered will be overwritten with the contact information found in Contacts.

When allow-duplicate-ssn is set to True, and you create a new individual contact that has an SSN that matches the SSN of an existing contact, use this workflow:

  1. In the SSN box, type the contact’s SSN. A warning message will appear stating:

    The SSN entered for new party (XXX-XX-XXXX) matches existing contact for:

    <Contact Name>

  2. If the contact identified in the warning message is the contact you want to add, select Use this contact. If the contact identified in the warning message isn’t the correct contact, select Dismiss.
    • If you select Use this contact, navigate to the bottom of the dialog box and select Add New Party. The contact’s name will appear on the Parties screen in the section in which the contact was added and any information previously entered will be overwritten with the contact information found in Contacts.
    • If you select Dismiss, complete the remaining fields in the Add <Party> dialog box. Navigate to the bottom of the dialog box and select Add New Party. A contact with a duplicate SSN will be created.
