As a claims administrator, you may need to assign or reassign multiple claims at once, for example, when someone leaves the company or is out on extended leave. Instead of updating each claim manually, you can use the bulk assignment feature on the Claims Search screen.
This feature helps you:
- Select and manage multiple claims at once.
- Assign, reassign, or unassign Claims Adjusters, Supervisors, or External Adjusters.
- Track changes through system notes.
User Experience Details
Select Claims
- Go to the Claims screen.
- Search or filter claims based on the required criteria, such as all claims assigned to a specific adjuster.
- Use the checkboxes next to each claim to select the ones you want to update.
- You can also select the Select All checkbox to select all claims on the current screen.
Note: Your selections will stay even if you navigate to the next screens. However, if you refresh the screen, your selections will be cleared.
Assign, Reassign, or Unassign Roles
- Once you’ve selected one or more claims, you’ll see the Action button appear.
- Select the action you are trying to complete from the dropdown menu:
- Assign
- Unassign
- Reassign
- In the Modal, select the role you want to update:
- Claims Adjuster
- Supervisor
- External Adjuster (only if this role is enabled in your system)
- In the name field, either type the name of the individual(s) you want to assign or select the name(s) from the dropdown list.
- Select Done to confirm and apply the changes.
What Happens After the Assignment
- When a user performs a claims bulk reassignment, the system processes it as two separate actions:
- Unassignment – The claim is first unassigned from the current adjuster.
- Assignment – The claim is then reassigned to the new adjuster.
- The system will process each claim in the background. Depending on size, this may take just a few seconds.
- You’ll see a confirmation message once the job starts.
- Notes are automatically added to each claim showing who was assigned or unassigned, and by whom.
Example notes:
- “Claim has been assigned to Adjuster John Smith by Admin Lisa.”
- “Supervisor unassigned by Admin Lisa.”
View Job Progress
On the Claims screen, select Jobs List from the left sidebar to check the status of bulk updates.
A table will appear, showing each job, including:
- Claim ID
- Task type (assign, unassign, reassign)
- Who started it
- Start and end time
- Status (e.g., Not Started, In Progress, Succeeded, Failed)
Note: If a job is still running, the screen updates automatically every minute. Once a job is completed, it will not display on this screen.
Configuration Details (Behind the Scenes)
Note: This section is informational. You don’t need to use these endpoints directly.
- All bulk actions are handled using the following API calls:
- /claims/bulk_assign — for new assignments
- /claims/bulk_unassign — to remove roles
- /claims/bulk_reassign — removes and replaces roles
- BriteCore will:
- Prevent duplicate assignments (if someone is already assigned, they won’t be added again)
- Validate roles before making changes
- Only show External Adjuster if the setting add-external-adjuster-on-claims is enabled by your admin team
- Contacts shown for the assignment are sorted alphabetically and filtered by the selected role.
