Overview
Quote Copilot turns a declarations page (Dec page), ACORD form or statement of values (SOV) into a rated, saved BriteCore quote, so agents and underwriters do not have to re-key data.
It appears as an optional panel on the Create New Quote screen. You upload a document, and Quote Copilot maps what it finds to your program's fields and coverages. It rates the quote with the standard rating engine and, once you approve, creates a normal quote with the document attached.
Three rules shape how it behaves:
- You stay in control. Nothing is saved until you confirm at each of four checkpoints: extraction, coverage mapping, rate preview and quote creation.
- No shortcuts on rules. Extracted values go through the same validation, eligibility and rating as a manually entered quote. The premium in the chat equals the premium on the saved quote.
- No special quotes. The result is an ordinary quote, fully editable in the standard workflow. There is no AI-only mode.
Who it is for: agents and underwriters who already have a prior carrier's Dec page or an SOV in hand.
Before You Begin
Quote Copilot is off by default. To turn it on for your site, contact your BriteCore representative. It needs both the Enable Quote Copilot setting and the new Create Quote screen. [confirm: which roles can use Quote Copilot, and whether agents see it in the Agent Portal]
Open Quote Copilot from Policies > Policy Search, and then select Create a New Policy. The wizard opens on the Create New Quote screen, where the Speed up your quote panel (marked optional) holds the upload area.
Before you start, have:
- Up to 10 documents, such as a Dec page, ACORD form or SOV, as PDF, Word, Excel, CSV, text, JSON or image files. Photos and scans are accepted. [confirm: how well scans extract, and whether blank files are rejected]
- The details only you know: the new policy's effective date, state, policy type, term and the answers to the underwriting screening questions.
- A stable connection. Extraction runs on the Copilot service, and a dropped connection interrupts the chat.
If you do not have a document, ignore the panel and complete the wizard as usual.
Create a Quote with Quote Copilot
A typical Personal Auto quote takes about 1–2 minutes from upload to saved quote, with four points where the Copilot waits for your answer.
- Upload the document. Drop your files on the Drop files here or browse area, or select browse. Quote Copilot holds the files until you finish the form.
- Keep filling the wizard. The upload does not block the form. Complete:
- Policy Effective Date
- State
- Policy Type
- Policy Term (for example 6 Months or 1 Year)
- Underwriting screening questions
- Open the Copilot panel. When the last required field is done, the panel opens on the right and the upload card shows Document processed — details pre-filled in Quote Copilot. A Quote Details card repeats your wizard answers. Check that State, Policy Type, Effective Date and Term match what you entered.
- Wait for extraction. The Copilot says it is reviewing your file and cycles through Processing data…, We are almost there… and Extracting file details…. Expect about 15 to 30 seconds for a one-page Dec page, and longer for multi-page SOVs.
- Checkpoint 1: Confirm the extraction. The Copilot lists what it found, grouped by section: Named Insured, Policy, Drivers, Vehicles and Driving Record for auto; the insured, the property risk and coverages for property. Select Yes (or type *yes*) if it is right, or No to stop.
- Checkpoint 2: Confirm the coverages. The Copilot matches each coverage on the document to your program's coverage list. Clear matches are applied automatically. Close matches are shown in a warning for you to accept or correct, and coverages your program does not offer are listed as skipped. Review the coverage table, remove any row you do not want, then confirm.
- Checkpoint 3: Review the premium. The Copilot rates the quote with the standard rating engine and shows the premium with the coverage table. Confirm to create the quote.
- Checkpoint 4: Quote created. A Quote Created! card shows the quote number, the premium and an Open Policy button. The uploaded PDF is attached to the quote's Attachments tab.
- Finish in the standard workflow. Open Policy takes you to the quote's Contacts page. Every field is pre-filled and editable, and the quote behaves like any other.
The effective date always comes from the wizard, never from the document. A prior policy's dates on the Dec page are ignored.
Review and Edit ResultsReviewing and editing results
Check the high-risk values first: a wrong VIN, license number or limit costs more than a misformatted address.
Correct extracted values in the standard quote pages after BriteCore creates the quote, not by chatting with Quote Copilot. The rating engine adds coverages your program always includes, so you see them even if the document did not list them.
The Copilot never overwrites values you already confirmed. If you upload more than one document, it flags conflicts between them and asks how to resolve them. [confirm: behavior with several files in one upload]
Troubleshooting
Most problems fall into five groups: the connection, the document, coverage names, allowed values and rating errors.
| Symptom | Likely cause | What to do |
| Red banner Error: Connection failed or was interrupted | Network dropped during the chat | Check your connection and send your reply again. The extraction already on screen is kept. |
| Stuck on Processing or Generating for more than a few minutes | Session interrupted or a large, multi-location document | Refresh and start a new quote. If it repeats, report it with the PDF and the time it happened. |
| A coverage on the Dec page is listed as not recognized | The Dec page uses a different name than your program (for example Equipment Breakdown vs Home Systems Protection), or the coverage is not in the program | Add it manually in the quote. Send the Dec page name to your admin so it can be mapped. |
| A limit was rounded or changed | The document's value is not an allowed value in your program | The Copilot snaps to the nearest allowed value. Ask what limits are allowed? and pick another if needed. |
| Coverage A comes from a replacement cost estimate | The Dec page shows Guaranteed Replacement Cost with an estimate instead of a stated limit | Confirm the Coverage A limit before rating. |
| Invalid combination of deductibles (Homeowners) | The all-perils deductible and the Windstorm or Hail deductible are not an allowed pair | The Copilot adjusts and retries. If it asks, choose an allowed pair. |
| Rating fails three times and errors are shown | The Copilot could not fix the validation errors in one turn | Read the errors, answer what it asks (for example a missing date licensed), or create the quote manually. |
When you report an issue, include the quote number if one was created, the PDF, the policy type and the approximate time.
Frequently Asked Questions
Q: Is anything saved before I confirm?
A: No. No quote record exists until you confirm the final step. If you answer No at any checkpoint, nothing is persisted.
Q:Can I chat freely with Quote Copilot?
A: No. It answers questions about the current quote, such as which limits or deductibles are allowed, but not open questions like typical premiums or recommended coverages.
Q:Can I paste insured details as text instead of uploading?
A: No. You can upload the details as a text (.txt) file instead.
Q:Where does the document go?
A:It is attached to the quote's Attachments tab, so every extracted value can be traced to its source.
