Commissions
Agent Commission report
Shows Agent Commission totals by producer, agency group, agency and policy type for a date range. It is the same report the old link ran. It also runs on its own at month-end, and the file is saved to Reporting › Attachments.
- Open Reporting › Reports, type Agent Commission in Search reports and click it. It is in the Agency category. If it doesn't appear, tick Show hidden reports.
-
Click Run report, enter the Start Date and End Date, and click Run report in the window.
Pick the commission period, for example the first and last day of the month.
- Open the Prior Runs tab and click Download on your run when it shows Completed. Runs marked Monthly are the automatic month-end runs.
Agency Experience report
Builds an Agency Experience PDF for each agency over a date range. On the old page you picked the dates and the result came to you. In Reports you can still do that, and you can also email the PDFs to the agencies and set the report to run on a schedule.
- Run it now: use Run report. You pick the dates and, for this run only, whether the PDFs are emailed to agencies.
- Run it on a schedule: use the Configuration tab. It sets how often the report runs on its own and who gets the PDFs from those runs.
Run it now
- Open Reporting › Reports, type Agency Experience in Search reports and click Agency Experience in the Agency category. Your site may also list copies such as Agency Experience - CSV; use the one without a suffix.
-
Click Run report and enter the Start Date and End Date.
The Email this run options appear only for Agency Experience.
-
Under Email this run, choose at most one option, or leave both unticked:
- Leave both unticked to only build the PDFs. Nobody is emailed.
- Email Agency Experience PDFs to the Commission Statement recipient emails every agency that has a Commission Statement recipient set up.
- Email Agency Experience PDFs as specified under "Recipients" emails only the agencies ticked in the Configuration tab's Recipients list, at the address picked for each.
These choices apply to this run only. They don't change the schedule or the Configuration tab.
-
Click Run report. When the run shows Completed in Prior Runs, click Download.
Runs marked Monthly come from the schedule set in the Configuration tab.
Important: Ticking an email option sends real emails to agencies when the run finishes. Leave both unticked if you only want the file.
Set up the schedule: the Configuration tab
Open the Configuration tab on Agency Experience. It has four sections: Schedule, Scheduled email, Output and Recipients.
Important: Changes save as soon as you click them and apply to every user at your company, so check each choice before you click.
Schedule. How often the report runs on its own: Manual (never), Daily, Weekly (Monday mornings), Weekly (Sat), Monthly (morning of the 1st) or Yearly (January 1st). The line under the buttons shows the next run date.
Scheduled email. Who gets the PDFs from the scheduled runs. This only takes effect when Schedule is not Manual.
- No email: the PDFs are built and stored. Nobody is emailed.
- Commission recipient: emails every agency that has a Commission Statement recipient.
- Selected agencies: emails only the agencies ticked under Recipients, at the address picked for each.
Output. Two optional settings:
- Generate separate PDFs by agency number: one file per agency number. Use it when two agencies share a name; otherwise leave it off to keep the usual file names.
- Generate audit files: adds CSV files that list the policies and premiums behind each figure in the report.
Recipients. The agencies that receive the PDFs when you choose Selected agencies (scheduled) or the "Recipients" option (single run). Tick each agency and pick or type its email address. The header shows how many agencies are selected, and the list saves on its own (you'll see "Recipients saved").
Commission statements (Retrieve Commission Reports)
These are the monthly commission statement PDFs, one per agency. BriteCore builds them every night, so there is nothing to generate. You pick a month and choose which agencies to send or download.
-
Open Policies › Payments › Agency Commissions.
Agency Commissions opens with the filters at the top and one row per agency payment.
-
Click Commission Month and pick the month you need. This replaces the Month and Year boxes on the old popup.
Use the arrows to change the year.
- Set Processing Status to All statuses: hover over the box and click the ×. The page opens on Pending, which hides agencies whose payment is already Reviewed or Exported. The old popup listed every agency, so clear this filter to see them all.
- Tick the agencies you want, or tick the box in the header row to select every agency on the page. If the list has more than one page, BriteCore asks whether you mean this page or all agencies.
- Click More and choose what to do:
- Email Report(s) sends each selected agency its own statement PDF. Only agencies set up to receive electronic statements get an email, the same as the old Email option.
- Download Report(s) builds one zip file with all the selected statements and emails the zip to you. It arrives a few minutes later instead of downloading in the browser.
Need one agency's statement right away?
Click the arrow › at the start of the agency's row to open its details, then click Download Report. The PDF opens right away.
The opened row also lists the policies behind the payment.
Negative commission statements
Agencies that owe commission back have a negative commission statement. On Agency Commissions you reach them from the orange banner.
- On Agency Commissions, click Please review in the orange banner that says how many delayed commission entries there are. Neg Amt counts the negative entries.
- In Delayed Commission Payments, find the agency and click Download Report to open its negative statement, or Email Report to send it to the agency.
Note: This window works one agency at a time. The old popup could select every agency at once. If you need all negative statements at once, contact BriteCore Support.
Last month only: Pending Commission Payments
For last month's statements you can also use Policies › Payments › Pending Commission Payments.
- Under Agent Commission Reports, click the magnifying glass next to an agency to download last month's statement.
- Click Email Reports at the bottom to email last month's statements to every agency set up for electronic statements.
What's different for commissions
- Bulk downloads come by email. Download Report(s) emails you a zip file instead of downloading it in the browser.
- Check the status filter. Agency Commissions starts on Pending. Clear it to see every agency for the month.
- No Role box. Agencies and agency groups are handled for you.
- Negative statements go one agency at a time from the Delayed Commission Payments window.
- Same statements. Every option uses the statements BriteCore builds each night. Nothing about their content changes.
Note: Don't see Agency Commissions in the Payments menu? Ask your BriteCore administrator to turn on the new Agency Commissions page for your site and give you the View Agency Commissions permission.
Claims
Claims by Loss or Closed Date
On the old page this was one report with a Date type box: Loss Date, Closed Date or Date Reported. It is now three reports, one for each date type. Pick the one that matches the date type you used to choose.
| Old Date type | New report | Lists |
|---|---|---|
| Loss Date | Claims by Loss Date | Claims whose loss date falls between the start and end date |
| Closed Date | Claims by Closed Date | Claims closed between the start and end date |
| Date Reported | Claims by Reported Date | Claims reported between the start and end date |
- Open Reporting › Reports and type Claims by in Search reports. The list shows the three reports, all in the Claims category.
-
Click the report you need. The right side shows what it contains: its parameters (StartDate and EndDate) and the 17 columns with a description of each.
The Documentation tab lists the parameters and every column.
- Click Run report, enter the Start Date and End Date, and click Run report in the window.
- Open the Prior Runs tab. When your run shows Completed, click Download to get the Excel file. Earlier runs stay listed with their dates, so you can download them again.
Columns in all three reports
Claim Number, Policy Number, Policy Type, Agent/Agency, Producer/Agent #, Inception Date, Expiration Date, Subline Name, Subline Type, Named Insured, Loss Date, Loss Cause(s), Status, Reported Date, Closed Date, Net Reserve, Total Paid.
What's different for claims
- One report per date type. There is no Date type box. Choose the report instead.
- Excel file. The result is an Excel workbook with a cover sheet and a Claim List sheet. Claim Number and Policy Number link to the claim and policy in BriteCore.
- Scheduling. These reports can be scheduled from Reporting › Schedules to run on their own.
Billing
Invoices Coming Due
Lists unpaid invoices on active policies that come due within the number of days you choose, counted from the moment the report runs. It asks for the same two things as the old popup: how many days ahead and a minimum amount.
-
Open Reporting › Reports and type Invoices Coming Due in Search reports. Click Invoices Coming Due in the Billing category.
Your site may also list copies such as Old Invoices Coming Due or test versions; use the one without a prefix or suffix.
- Click Run report, fill in the two fields and click Run report in the window. Both fields come filled with their defaults.
- Number of Days to Look Forward: how many days ahead to look for due dates. Default 30. Replaces the old How many days box.
- Minimum Amount: leaves out invoices whose currently due amount is at or below this value. Default 0. Replaces the old Minimum amount box.
-
Open the Prior Runs tab. When your run shows Completed, click Download to get the Excel file.
Every earlier run stays listed, so you can download it again.
Columns
Policy Number, Effective Date, Policy Type, Agent / Agency, Named Insured, Invoice Type, On Auto Pay, Non-Pays, Due Date, Amount Invoice, Premium Due, Currently Due.
What's different for billing
- Same inputs, new place. Days ahead and minimum amount work as before, and both start with a default.
- Excel file from Prior Runs. The file is ready in the Prior Runs tab when the run finishes, instead of downloading straight from the popup.
- Scheduling. You can schedule it from Reporting › Schedules, for example on the first of every month.
All other reports
Each of these runs the same way as the claims and billing reports above:
- Open Reporting › Reports and type the report name in Search reports.
- Click the report, click Run report and fill in what it asks for.
- Open the Prior Runs tab and click Download when the run shows Completed.
The reports are grouped the way the Old Report List grouped them. Some now sit in a different category in Reports, so the category is listed for each one.
