With the exception of the Settings module, Attachments screens appear throughout the Provider Administrator portal. Depending on the module, Attachments provide you with the opportunity to manage files for a specific contact, policy, or claim, or to manage files for a module. In the Agent portal, Attachments appear in the Policies and Claims modules.
Folder and file management
BriteCore provides a locking feature at both the folder and file levels. With the locking feature, you can restrict agent access to specific folders and you can restrict access to individual files.
Folders
There are two types of folders in Attachments: system-created folders and user-created folders. The system-created folders ensure consistent processing and labeling throughout BriteCore. The user-created folders allow you to add folders and use naming conventions that accurately summarize the information contained in the folder you have created.
Files
There are two types of files in Attachments: system-created files and user-uploaded files. The system-created files ensure consistent processing and labeling. The user-uploaded files allow you to add pertinent documents for robust record-keeping.
Attachments structure
You can break attachments into three separate categories:
- Folder - The folder contains related subfolders or files. System-generated folders will share the same name as the deliverable or report contained within it. For example, Declaration deliverables will be in the Declaration folder.
- Subfolder - The subfolder contains related files. Subfolders are only applicable to policies and claims, and they will group deliverables by date. For example, 08-31-2019 - Declaration and 08-25-2019 - Declaration subfolders will be within the Declaration folder.
- Files - The files are the dated, individual, system-created or user-uploaded files. For example, 08-25-2019 - Declaration - would be the file name for a declaration generated on 08-25-2019 for a named insured. The file would be contained in either the 08-25-2019 - Declaration subfolder, which is contained within the folder Declaration, or it would be contained in the Declaration folder.
Attachments in BriteCore modules
- Contacts module - Attachments is available for each existing contact. When you access a contact, you can access the contact‚ Attachments screen to manage their files. See Attachments overview - Contacts.
- Lines module - Attachments is part of the Lines module. When you access the Lines module, you can access the Attachments screen, where you can manage files as they relate to the Lines module. See Attachments overview - Lines.
- Policies module - Attachments is available for each existing policy. When you access a specific policy, you can access the policy, Attachments screen, where you can manage files as they relate to that policy. See Attachments overview - Policies.
- Claims module - Attachments is available for each existing claim. When you access a claim, you can access the claim‚ Attachments screen, where you can manage the claim‚Äôs files. See Attachments overview - Claims.
- Reports module - Attachments is part of the Reports module. When you access the Reports module, you can access the Attachments screen, where you can manage files as they relate to Reports. See Attachments overview - Reports.
Attachments actions
In Attachments, you can:
- Search for a file.
- Create a new folder.
- Upload files.
- Move files.
- Rename files.
- Edit the print state.
- View more information on files and folders.
- Update privacy of files and folders.
- Delete files.
Usage consideration
When you upload files to Attachments or view or download files from Attachments, BriteCore can scan for viruses. Scanning for viruses is dependent upon two advanced settings: virus_scan and virus_scan_on_upload. If virus_scan is set to True, BriteCore will scan attachments for viruses. If a virus is found, you won’t be able to view or download the attachment. If virus_scan_on_upload is set to True, BriteCore will scan attachments when they are uploaded. If a virus is found, the attachment won’t be uploaded. By default, these advanced settings are set to False.
