Document Preparation
Your document can be a PDF or a Word file. It must either contain actual data or, at minimum, empty form boxes so the system can recognize where information needs to be added.
One way to prepare the document is to add placeholders in the form fields you want the Copilot to detect and populate. The Copilot recognizes:
- Runs of x characters, such as
xxxxxxx. - Runs of underscores, such as
__________. - Fillable PDF form fields.
- Sample data, such as a completed declarations page for a real policy.
Label each field clearly in the surrounding text (for example, “Insured Name:” before the placeholder). The Copilot uses the labels to decide which BriteCore field to map.
Template Conversion
- Select the paperclip icon, select your PDF or Word file to attach, and ask the Copilot to convert that document into a template, for example “Convert this document into a template.”
- The Forms Copilot reads the PDF, converts it to Word, detects the fields, and maps the fields from the data table on the left into the document.
- When the Forms Copilot reports that it detected and matched fields, select Continue.
Tips
- Checkboxes and survey-style forms with many small boxes map best when each box has a short label next to it.
- Multi-word field names (for example, Roofing Installation Year) can be searched by any of their words when you resolve fields later.
- If the document has sections that should only print in some cases, tell the Copilot after the conversion, for example “Only show the Wind Exclusion section for policies in coastal counties.”
