Overview
Additional Interests allow you to identify third parties that have a financial, legal, or other interest in an insured risk. Examples may include lienholders, trustees, property managers, additional insureds, landlords, or certificate holders.
Depending on the policy type, an Additional Interest can apply to:
- The entire policy — Use a Policy-Level Additional Interest when the interest applies broadly to the policy.
- Specific properties — Use a Property-Level Additional Interest when the interest applies only to one or more properties on the policy.
For example, a commercial property policy may insure three buildings where:
- First National Bank has an interest in Buildings 1 and 2.
- Harbor Capital has an interest only in Building 3.
Property-level Additional Interests allow those relationships to be recorded against the appropriate properties instead of treating each interest as applicable to the entire policy.
Property-level Additional Interests are optional and are enabled by policy type. Policy-level Additional Interests remain available on all policies.
Interest Type and Additional Notes
Additional Interests include two fields for describing the relationship:
Interest Type identifies the party’s relationship to the policy or property, such as Additional Insured, Lienholder, Trustee, or Property Manager. Interest Types are selected from a list managed by your administrator.
Additional Notes provides free-text space for information specific to that Additional Interest, such as a reference number, event, date range, or explanation of why the interest was added.
Keeping these separate allows organizations to use consistent Interest Types while still capturing policy-specific details when needed.
Where Additional Interests Are Available
Additional Interests can be managed throughout the policy and quote experience.
| Area | Primary users |
|---|---|
| Quote Wizard – Risk Details | Agents and underwriters |
| Quote Wizard – Contacts and Risks | Agents and underwriters |
| Policy → Property | Staff and underwriters |
| Policy → Information → Contacts | Staff and underwriters |
On a single-property policy, the Additional Interest is automatically associated with that property.
On policies with multiple properties, users can select the specific properties to which an Additional Interest applies when property-level Additional Interests are enabled.
Administrator Setup
Administrators can control the Interest Types available to users and determine which policy types support property-level Additional Interests.
1. Review Additional Interest Types
Go to:
Settings → Lookups → ADDITIONAL_INTEREST_TYPES
BriteCore provides common Additional Interest Types, including options such as:
- Additional Insured
- Lienholder
- Trustee
- Property Manager
- Property Owner
- Landlord
- Lessor
- Lessee
- Certificate Holder
- Interested Party
- Premium Finance Company
- Escrow Company
Administrators should review the available types and deactivate any that are not relevant to their organization. Additional types can also be created when needed.
Deactivating an Interest Type removes it from the dropdown for new selections without changing existing policies that already use it.
Note: Mortgagees continue to be managed through BriteCore’s Mortgagee functionality. If your organization also needs a mortgagee-related option within Additional Interests, an administrator can add the appropriate Interest Type.
2. Select a Default Interest Type
Administrators can select the Interest Type used most frequently as the default.
The default is automatically selected when a user adds a new Additional Interest but can be changed before saving.
If you deactivate your current default, select a new default at the same time.
3. Enable Property-Level Additional Interests
Property-level Additional Interests are enabled separately for each policy type.
Go to Lines → Policy Types, open the applicable policy type, and enable:
Allow Additional Interests at Building Level
When enabled, users can choose whether an Additional Interest applies to the entire policy or to specific properties.
When disabled, Additional Interests remain policy-level.
This setting is disabled by default and must be enabled for each policy type where property-level Additional Interests are needed.
4. Limit Interest Types by Policy Type (Optional)
Organizations offering multiple products can also control which Interest Types are available for each policy type.
From ADDITIONAL_INTEREST_TYPES, use the Policy Type Definition option to configure the Interest Types appropriate for each product.
For example, a carrier may offer different Interest Types for a commercial property product than for a homeowners product.
If no policy-type-specific configuration is made, the policy type uses all globally active Interest Types.
Working with Additional Interests
Additional Interests are displayed as cards containing information about the interested party and their relationship to the policy.
Depending on the information available, a card may show:
- Contact name
- Interest Type
- Mailing address and contact information
- Associated properties
- An indicator when Additional Notes are available
For policy types that support property-level interests, Additional Interests are organized into two sections:
Policy-Level
Use this section for interests that apply to the policy as a whole.
Property-Level
Use this section for interests that apply only to selected properties.
The Property-Level section appears only when Allow Additional Interests at Building Level is enabled for the policy type.
On committed policy revisions, Additional Interests are view-only. Create a new revision to add, edit, or remove an interest.
Adding an Additional Interest
Select + Add Additional Interest from the appropriate Policy-Level or Property-Level section.
Select or Create the Contact
Search for an existing contact and select it, or create a new contact if the party does not already exist.
Using an existing contact prevents unnecessary duplicate contact records.
Select an Interest Type
Choose the appropriate relationship from the Interest Type dropdown.
The list is managed by your administrator. If the type you need is not available, contact your administrator to determine whether it should be added or enabled for the policy type.
Select the Applicable Properties
For a single-property policy, the Additional Interest is associated with that property automatically.
For a multi-property policy, select each property to which the interest applies.
An Additional Interest can apply to more than one property. It will still appear as one Additional Interest record with all applicable properties listed.
Add Supporting Information
Use Additional Notes for descriptive information that is specific to this policy or interest.
Examples include:
- A reference or account number
- An event name
- An effective date range
- A description of the specific interest
- Other information needed by your organization
Select Save to add the Additional Interest.
Additional Interests and Property Grouping
Property-level Additional Interests are always associated with individual insured properties.
When Property Grouping is enabled, those properties are displayed as Buildings organized beneath Locations. For example:
- Location 1
- Location 1 Building 1
- Location 1 Building 2
- Location 2
- Location 2 Building 1
When selecting properties for an Additional Interest, select each applicable Building.
Important: An Additional Interest cannot be assigned to an entire Location at once. If an interest applies to every Building at a Location, select each Building individually.
If Property Grouping is not enabled, properties appear as a standard flat list and can be selected individually.
Property Grouping changes how properties are organized and displayed; it does not change how Additional Interests are associated with the underlying properties.
Editing or Removing an Additional Interest
Select Edit on an Additional Interest card to update:
- Interest Type
- Additional Notes
- Associated properties
- Contact information
For a property-level interest, properties can be added or removed from the selection when editing the record.
At least one property must remain associated with a property-level Additional Interest. If the interest no longer applies to any property, use Remove to delete the Additional Interest instead.
Select Remove to remove the Additional Interest from the policy. BriteCore asks for confirmation before the record is removed.
Using the Same Contact on Multiple Policies
The Interest Type and Additional Notes belong to the policy record, not the contact itself.
This means the same contact can be used on multiple policies with different Interest Types or notes.
For example, the same organization could be a Lienholder on one policy and an Additional Insured on another without creating duplicate contact records.
Using Additional Notes
Additional Notes should be used for descriptive information about the interest. The Interest Type should be used only to identify the party’s relationship to the policy or property.
For example:
Interest Type: Certificate Holder
Additional Notes: Certificate required for annual festival, June 10–15
Notes are stored with the policy and are not added to the contact’s record in the Contacts module. This allows the same contact to have different notes on different policies.
When notes are present, an information indicator appears on the Additional Interest card. Users can select the indicator to read the notes without editing the record, including on bound policies.
Additional Interests on Policy Documents
Interest Types continue to be available to policy documents and deliverables.
There is an important consideration for organizations that previously entered descriptive information directly into the Interest Type field.
With the managed Interest Type list, descriptive information should now be entered in Additional Notes. Additional Notes are available to document templates but do not automatically appear on standard BriteCore deliverables.
For example, if your organization previously entered:
Interest Type: Annual Festival – June 10–15
The updated approach would be:
Interest Type: Certificate Holder
Additional Notes: Annual Festival – June 10–15
If that descriptive information needs to appear on a Declarations page or another policy document, the applicable template must be configured to display Additional Notes.
Recommended before rollout: Review any forms that currently display descriptive Additional Interest information. If that information needs to continue printing, work with your BriteCore representative to update the affected templates.
Existing Policies and Interest Types
Existing Additional Interests are preserved when the managed Interest Type list or property-level Additional Interests are introduced.
Existing Policy-Level Interests
Enabling property-level Additional Interests does not automatically move existing interests to individual properties. Existing policy-level interests remain policy-level.
They can be updated during a future policy transaction if a different association is needed.
Existing Free-Text Interest Types
Interest Type values that were entered before the managed list was introduced are also preserved.
If an existing Additional Interest contains a value that is not part of the configured list:
- The existing value continues to display.
- The policy can continue to renew or endorse normally.
- A warning indicates that the value is not part of the current configured list.
- If the Interest Type is changed, a value from the managed list must be selected.
When updating these records, move descriptive information into Additional Notes and select the appropriate relationship from Interest Type.
Recommendation: Before introducing the managed list to users, review the Additional Interest values currently used by your organization. Relationship types should be represented in the managed list, while policy-specific descriptions should be moved to Additional Notes as records are updated.
Renewals, Endorsements, and Copying Risks
Additional Interests and their property associations are preserved through normal policy transactions.
| Action | Behavior |
|---|---|
| Bind | Additional Interests and property associations are retained on the bound policy. |
| Renewal | Additional Interests and property associations carry forward automatically. |
| Endorsement | Additional Interests and property associations carry forward automatically. |
| Copy Risk | Property-level Additional Interests are copied with the property, including Interest Type and notes. |
| Copy Across Locations | Additional Interests can be selected when copying information across properties. |
If an Interest Type is later deactivated by an administrator, policies already using that value continue to renew and endorse normally.
Loan Numbers and Mortgagees
Loan numbers are not captured on property-level Additional Interests.
For property risks, record the loan number and related mortgage information within the Mortgagee section.
Additional Interests for vehicles in the Auto quote experience are unchanged and may continue to include Loan Number where applicable.
Troubleshooting
I don’t see a Property-Level Additional Interests section.
Confirm that Allow Additional Interests at Building Level is enabled for the applicable policy type. If it is not enabled, Additional Interests are available only at the policy level.
I want an Additional Interest to apply to an entire Location.
Select each applicable Building within the Location. Additional Interests are associated with individual properties rather than the Location itself.
The Interest Type I need isn’t available.
Contact your administrator. The type may need to be added, activated, or enabled for the applicable policy type.
There are too many Interest Types in the dropdown.
Administrators can deactivate unused types or configure which types are available for individual policy types.
An existing Interest Type has a warning next to it.
The value was likely entered before the managed Interest Type list was introduced and is not part of the current configured list. The existing value is preserved. When changing the type, select an appropriate value from the current list.
I need to add descriptive information that isn’t an Interest Type.
Enter it in Additional Notes rather than creating a new Interest Type.
My Additional Notes aren’t appearing on a policy document.
Additional Notes are available to document templates but do not automatically appear on standard BriteCore deliverables. The applicable template must be configured to display the field.
I don’t see Add, Edit, or Remove.
The policy revision may be committed and read-only. Create a new revision to make changes.
I can’t remove the last property from an Additional Interest.
A property-level Additional Interest must be associated with at least one property. If the interest no longer applies, remove the Additional Interest instead.
I don’t see a Loan Number field.
Loan numbers for property risks are managed with the Mortgagee rather than the property-level Additional Interest.
